About Pembroke

Pembroke is one of the most dynamic of the Oxford Colleges, with a forward-looking Fellowship, strong leadership, ambitious and clear academic plans for the future, a friendly and welcoming environment and the proud host of several research groups. The College community is made up of over 400 undergraduates, around 280 postgraduates, 55 Fellows, 190 academics, and just over 160 operational staff.

The Events Team

The Events team currently comprises a close-knit friendly team of five staff including an AV Technician. We are busy year-round, overseeing and coordinating all meeting and event activities which take place in college. We work collaboratively with the other operational teams to provide a high level of support to students and staff in term time, and to facilitate external conference and event business, primarily during the vacation. Internal event activity includes everything from meetings, seminars and talks, drinks and dinners, social and academic events, College community events and VIP College lectures and dinners. The external business we secure generates essential income in support of the academic endeavors of the College and includes a wide array of events including drinks receptions, gala dinners, talks and lectures, weddings, baptisms, summer schools and residential conferences.

The Role

The Event Coordinator will efficiently deal with the coordination of Pembroke’s conference and event activity, both College and Commercial. This can range from managing day-to-day requests for one-off events such as workshops, seminars and dinners, to recurring high level annual events and multi-day residential conferences. A solution-focused team member, they will build strong relationships with colleagues and provide a friendly and professional service to all clients. The ideal candidate will have a proactive, solution-focused approach and will provide a friendly and professional service - building excellent relationships with students, colleagues and clients. 
This is a busy role, requiring sound administration skills, an unflappable demeanor, a friendly and approachable attitude, an aptitude for learning new IT systems and an enthusiasm for supporting students and academic staff. 

Primarily acting as the central focus of administration for internal bookings, as well as coordinating a small portfolio of commercial events, the Event Coordinator will gain exposure to a wide variety of student and academic college activities such as meetings, talks, dinners and social events.
