Examination Entries

All undergraduates and graduates taking University (public) examinations during the academic year will be issued with a booklet entitled "Exam Entry Dates and Provisional Start Dates of Examinations" in October. When you register on-line you will automatically be entered for compulsory core subjects (units of assessment). The Academic Office staff will ask you to come to the office to complete your entry form for other options on which you will be examined approximately two weeks before your examination entry is due to be received by the University. It is essential that you come to the office as soon as possible after this request to ensure your entry is processed in good time. Late entries could incur a fee of up to £60.

Special Requirements During Examination

The Proctors must be notified of any special requirements for examinations at the same time as your entry is submitted. All such requests must be sent to the Proctors via The Academic Director, so please let the Academic Office staff know when you come in to complete your form if you need any special arrangements to be made. On-going Permission for special requirements

Please note that where the Proctors give (or have given) on-going permission for special examination provision (extra time, use of a word-processor, use of a bilingual dictionary, religious circumstances) there is no need to make any further request to the Proctors except where the examination will be taken in college, for which authorisation of invigilation arrangements must be made on each occasion.

Opting Out of Pass Lists

Candidates have the right not to have their names appear on the pass list. Since space constraints prevent reference to this on the exam entry forms, this information will appear on the Confirmation of Entry forms issued after entries are processed and later on individual candidate timetables. For your information in case of query, candidates wishing to opt out are asked to notify the Exam Schools' general e-mail address: exam.queries@admin.ox.ac.uk.

Special Requirements

Dyslexia

Where a candidate with dyslexia wishes to request extra time and/or other special arrangements for examinations, the request must be sent to the Proctors' Office with a Dyslexic Assessment Summary Sheet (Code No.1D), completed by one of the University's specially appointed Chartered Psychologists by the exam entry date. Please note that the standard allowance of extra time for dyslexia is ten minutes per hour and that requests for more than this are only granted in the case of dyslexic candidates who are severely disadvantaged, as evidenced by their assessment. Two special rooms are provided at the Examination Schools: one for students permitted extra time; the other for those who have Proctors' permission to use a word processor; candidates with dyslexia will therefore take papers at the Exam Schools unless there are other additional requirements. Candidates should be told to report to the Reception Desk at the Exam Schools.

Requests to take papers in College

Where a candidate with a known medical condition would have difficulty in taking papers in the Examination Schools or at Ewert House, a request for permission to take papers in college must be sent to the Proctors' Office by the exam entry date. If details of proposed invigilation arrangements are not included at the same time, such details must be submitted to the Proctors for approval by no later than Friday of 4th Week of Hilary Term (for Hilary Term examinations) or Friday of the 2nd Week of Trinity Term (for Trinity Term examinations).

Special arrangements in the main exam room

Requests for approval of special arrangements in the main exam room (for example special desk, chair, cushion, food etc) should be sent to the Proctors' Office by the exam entry date.

Bilingual dictionaries

Requests on behalf of candidates whose native language is not English for use of bilingual dictionaries should be sent to the Proctors' Office by the exam entry date. Please be aware that in some subjects the use of bilingual dictionaries is not permitted (e.g. undergraduate examinations in English Language and Literature and in Modern Languages). Under no circumstances are English-only dictionaries allowed. Please note, and advise all of your eligible candidates, the final deadlines of Friday of 4th Week (for Hilary Term examinations) and Friday of 2nd Week of Trinity Term (for Trinity Term examinations), as no requests will be considered after these dates. Candidates should be told to bring their dictionary on the first day of the examination; it will be inspected by the duty examiner before the exam starts. The dictionary must be handed to the invigilator at the end of each paper and will be kept in the exam room until all papers have been taken. Please note that dictionaries must be in book form only and no electronic device will be permitted.

Religious reasons affecting attendance at examinations

Where candidates may be prohibited for religious reasons from taking papers on Saturdays or other special days, notification of the name of the candidate, the examination for which he or she is entering, and particulars of his or her faith, should be sent to the Proctors' Office by the exam entry date.
